Free App Images

Many are not aware of the ability to extend Microsoft Office’s features through the use of add-ins. We have compiled a list of 10 free Office 2016 apps that you should be using. There are many add-ins for each of the Office applications. Some are general in nature and others extend functionality to products such as CRM applications, social applications, marketing tools, and more.  While a lot of applications require payment, there are a few free apps that do not. Here is a list of the must have free applications to extend Office functionality that will help you increase productivity, engagement, and save time.

FindTime

If you and your colleagues have ever had trouble with finding a time and date when everyone is available for a meeting, then FindTime is an app that could come in handy.  It can easily be downloaded and integrates with Outlook to allow users to vote on available meeting options. Collaborate on selecting meeting times by clicking on the “New Meeting Poll” button in the Message tab of either a new, or replied to, email.  Once votes are tabulated, FindTime sends a meeting invitation for the chosen time. Even though this app would naturally be a perk in any office environment, it can be used to send an email to anyone with an email address–even if they don’t have Office 365, Outlook, or FindTime installed. It removes the need for back and forth group emailing and phone calls to select a meeting time, and who doesn’t need a little extra time in their day?

Office Mix

iPlanner Office 365 Planner Add-in

The iPlanner add-in for Office 365 allows you to view Office 365 Planner tasks directly in Outlook.  You can download the Free Light version, or the Planner Pro with more functionalities.   iPlanner allows you direct access to Office 365 Groups and other Office 365 services from your Outlook. Some of the features include date sorted tasks, the ability to filter by Bucket, Plan or Status.  Tasks are editable when opened in Outlook and are updated directly in your Office 365 Planner.  One important note is that an Office 365 administrator must approve the first time activation of this add-in.

Yelp

The Yelp add-in for Outlook allows you to search for businesses on Yelp and view that business’s details, photos and reviews directly from your Outlook.  You can then insert the business details into your email, or calendar, and share with colleagues and friends.   This is a great tool if you have to plan an out-of-office meeting or get together.  Just a few clicks, and this add-in applies a business map location, address, contact information, and reviews  directly into your email. 

DocuSign

Everyone knows of the time-consuming and tedious practice of having to print a document, sign it, scan it, then email the item back to the recipient.  The DocuSign apps allow users to skip those steps and sign and send documents directly from Outlook, Word and SharePoint Online.  Features include the ability to drag and drop functional tags where recipients need to sign, provide information, or add your own signature.  DocuSign ensures all  documents meet eSignature legal standards, and all documents are kept secure using Digital Transaction Management. Symbol Search allows you to insert  icons, symbols and logos to documents.  Look through searchable symbol categories to find the right one for your needs.  Features include the ability to search through symbol categories, access most recently used symbols, and symbol lookup using keywords. Add symbols to your documents in just one click then format document text as needed.

Template Phrases

Save time in answering frequently asked questions by creating a collection of templates with pre-formed information.  Add email salutations, answers,  and signatures with just a few clicks.  Template Phrases allows you to search for and select from a list of popular phrases, or you can create your own template phrases with just a few clicks.  As an added bonus, if you are a long-time user of the desktop version Template Phrases add-in you are able to import your current templates into the online version.

Wunderlist

Not all emails are created equal. Keep your email inbox organized with Wunderlist, and keep your more thought provoking email separate from the rest. Wunderlist allows you to turn emails into tasks with the email subject being the task name, and the body of the email as a note. Set reminders for these tasks and choose which lists they should be added to. Wunderlist also allows you the ability to share tasks with colleagues by clicking the Wunderlist icon within a new email. This app is available for Office 365 subscribers using Outlook 2013, Outlook 2016 and the Outlook Web App. It is not available for On Premises Office 365 subscribers.
